Overview

An exciting opportunity has arisen for the right person to take on the role of Receptionist and PA to the Directors at our Swansea HQ. You will be the first face people see when they come to visit us. This is a varied role where you will also be assisting the Directors as well as the back-office teams when necessary. 

Location: In office at our Swansea HQ. You can even see your desk at the top of this page! 

Hours: 8.00am - 4.00pm (Weekdays only)

Salary: £11.50 - £12.50 Per Hour (Dependant on experience)

 

About The Role

 
Reception duties:
  • Welcome visitors when they arrive at TCH and direct them to where they need to go
  • Ensure visitors use the SignIn App
  • Be responsible for the issuing and return of visitor and temporary passes
  • Offer hospitality to visitors e.g. making drinks 
  • Answer, screen and forward incoming phone calls and place any required outbound calls where required
  • Ensure the reception area is tidy, presentable 
  • Receive, log and distribute post and deliveries 
  • Take inventory of office supplies and maintain stock 
  • Maintain the coffee machine in the client hub, ensuring it is clean and stocked
Personal Administration Support:
  • Send a daily list of visitors to management
  • Keep records of office expenses, along with supplementary vends from the coffee machine
  • Perform other clerical duties such as filing, photocopying, transcription and emails
  • Upon request: update Director calendars and schedule any required visitor meetings 
  • Upon request: collect visitor information e.g. dietary requirements and arrange hotels or travel to make their visit as smooth as possible 
  • Upon Request: Event Support
  • Ensuring interviewees are welcomed, signed in and introduced to the Recruitment Team

About you

  • Well-presented people person with a friendly and approachable manner
  • Excellent time management skills
  • Adept at Microsoft Office Suite and Email
  • Knowledge of HubSpot is an advantage
  • Ability to use your initiative to ensure all daily tasks are complete
  • Excellent organisational skills
